Position Summary

Under the direction of the Executive Assistant, the Administrative Assistant provides day-to-day administrative support to the Institution’s Executive Offices, supporting multiple executives in a fast paced, dynamic environment.
 
The Administrative Assistant will perform a wide variety of administrative support tasks using his/her well-developed organizational, interpersonal and communication skills, all of which contribute to the efficient and professional operation of the executive offices. Responsibilities include: drafting routine correspondence, presentations and reports as required; managing calendars for multiple executives; conducting basic research and gathering all necessary information from a variety of internal and external sources for presentations or reports; collaborating with EA’s in the executive offices and other AA’s on projects or initiatives; assisting with corporate event planning; coordinating meetings and preparing and distributing minutes/following-up on matters arising; coordinating travel arrangements and conference bookings for the executive office as required; covering reception on a rotational basis with other AA’s, and other general office duties.

Qualifications

The successful candidate will possess a diploma or degree in Business or a related field, along with at least 3 years of experience supporting a senior level leader/executive (a direct report to the President or CEO). Additional qualifications include: experience in calendar management for multiple staff; intermediate skills in business writing and oral communications, strong computer literacy, including Microsoft Windows, Outlook, Excel, Word and PowerPoint; strong electronic filing and content management skills; experience in minute/note taking with high attention to accuracy and detail; superior time management skills with the ability to prioritize tasks to meet tight timelines; and excellent communication and interpersonal skills combined with the ability to work effectively as a member of a team. The incumbent will be a customer service focused professional with a positive attitude as well as a self-directed individual who possesses initiative, sound judgement, and well-developed critical thinking and decision-making abilities.
