Position Summary

Under the direction of the Dean, School of Health Sciences (SHS), the Administrative Assistant will provide confidential administrative services for the Dean, as well as confidential support for the School Management Team. Regular and recurring tasks will include research and report preparation; scheduling meetings and all related logistics; minute taking; coordination of interviews for new hires; event coordination; submitting and tracking requests related to the operations of the school; conference/travel logistics related to the Dean’s office; coordination of logistics for international trips and visitors; processing SHS student emergency bursary applications and processing conference approval forms for SHS faculty. The incumbent will act as the first point of contact for students, staff and faculty inquiries for the Dean’s office and triage appropriately, and will communicate and coordinate logistics associated with the external organizations that interface with the Dean (i.e. MTCU, MOHLTC, Colleges of Ontario, CECE, CNO, CASN and UNB). The incumbent will carry out other duties as assigned by the SHS Management Team to support the success of students, faculty and staff as we contribute to the college mission of leadership in Polytechnic education.

Qualifications

The successful candidate will possess a 3 year advanced business diploma or equivalent in a relevant discipline, along with excellent interpersonal, oral and written communication, customer service, conflict resolution, initiative, problem-solving and negotiation, organizational, time management, team building and technical support skills. The incumbent must also possess five years of work experience in an administrative support capacity and good working knowledge and/or experience with computer databases and computer software applications, including Microsoft Office Suite. Administrative experience in post-secondary settings will be considered an asset. In addition, self-motivation, discretion, and confidentiality are imperative. The ideal candidate will possess strong emotional intelligence and demonstrate the values of the school, which include trust, pride, self-awareness, integrity, compassion, inclusion, respect and camaraderie. Knowledge of the programming in SHS is also required.
